How AuDHD Forward Ltd looks after the personal information you share with us, in plain English.

Who we are

AuDHD Forward Ltd ("we", "us") provides coaching and mentoring by Marie Herbert. We are the data controller for the personal information described here. We are registered in England and Wales, company number 16099199, with our registered office at 9 Lennox Avenue, Richmond, England, DL10 5AF.

If you have any questions about this policy or your information, email marie@audhdforward.com.

What we collect

  • Contact details: your name, email address and phone number.
  • Booking details: the sessions you book and their dates and times, collected through our booking system.
  • Information you share in coaching or mentoring: what you tell us about your goals, circumstances, wellbeing, and any ADHD, autism or other neurodivergence or health conditions. This is special category data, and we treat it with extra care.
  • Funding details: if your support is funded through Disabled Students' Allowances (DSA) or Access to Work, the information needed to arrange it, such as your university, funding references, session records, attendance confirmations and signatures.
  • Payment details: a record of what you have paid. Card payments are handled by our booking system's payment provider, and we never see your full card details.
  • For young people under 18: the name and contact details of a parent or guardian, and their consent.

How we use it, and why we're allowed to

  • To provide the coaching or mentoring you've asked for, including booking, reminders and session notes. Our lawful basis is our contract with you.
  • To arrange and evidence funded support, such as sharing attendance records and invoices with the Student Loans Company or Access to Work. Our lawful basis is our contract and, where it applies, our legal obligations to funding bodies.
  • To keep financial records for tax and accounting. Our lawful basis is legal obligation.
  • To reply to enquiries before you book. Our lawful basis is our legitimate interest in responding to you.

We only use special category information, such as details about your health or neurodivergence, with your explicit consent, which you give when you choose to share it in sessions. You can withdraw consent at any time. In rare cases, we may need to share information without consent to protect you or someone else from serious harm, as explained in our safeguarding commitments.

Who we share it with

We never sell your information. We only share it when we need to:

  • with funding bodies, such as the Student Loans Company or Access to Work, if your support is funded through them
  • with trusted services that help us run the business, such as our booking system (Calendly), video calls (Zoom), messaging (WhatsApp), email, secure cloud storage, accounting software and website hosting (Netlify)
  • with safeguarding or emergency services, if we believe someone is at risk of serious harm
  • with professional advisers, such as our accountant, or where the law requires it

Some of these providers are based outside the UK, for example in the USA. Where that's the case, your information is protected by legal safeguards approved under UK data protection law.

How long we keep it

  • Session notes: we keep as little as possible. Any notes are anonymised so they don't include your name, and are deleted when our work together ends.
  • Emails with clients: up to 6 years after our work together ends, then deleted.
  • Enquiries that don't lead to a booking: up to 12 months, then deleted.
  • Financial and funding records, such as invoices and DSA attendance records: 6 years, as required for tax and by funding bodies.

Young people

We coach young people from age 14, with the consent of a parent or guardian. Young people's sessions are confidential, and we don't share what's discussed with parents unless the young person asks us to, or there is a safeguarding concern. Young people who understand their rights can make requests about their own information.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that's wrong
  • ask us to delete your information, unless we have to keep it by law
  • ask us to limit how we use it, or object to how we use it
  • ask for your information in a format you can take elsewhere
  • withdraw your consent at any time

To make a request, email marie@audhdforward.com. We'll respond within one month.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Keeping it safe

We use password-protected systems, and only Marie has access to client information. We keep as little as possible, anonymise any session notes, and delete information when we no longer need it.

Cookies

Our website host, Netlify, keeps short-term technical logs, such as IP addresses, to keep the site secure and working.

When you follow a link to another website, such as Calendly to book a call, or LinkedIn or TikTok, that website's own privacy and cookie policies apply.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
